RAIDS Author Policies

Presentation requirements and policies on the responsible use of AI for authors participating in the RAIDS Conference in Rwanda.

Welcome to RAIDS

RAIDS (Rwanda AI & Data Science Conference) looks forward to welcoming participants to Rwanda. To assist authors in planning their participation, the following presentation and publication policies apply to all accepted papers.

Authors must acknowledge and agree to comply with these policies during camera-ready submission.

In-Person Presentation Requirement

  • At least one author must present the paper in person.
  • The presenting author must register at the in-person rate.
  • All presentations must be delivered on-site.
  • No remote or virtual presentation options are available.

Camera-Ready Policy Acknowledgment

During camera-ready submission, authors must formally acknowledge their obligation to present in person or notify RAIDS immediately if exceptional circumstances arise.

Required Author Declaration

“I commit to an author presenting the paper in person at RAIDS. If exceptional circumstances arise that prevent the authors from presenting the paper in person, I will notify RAIDS immediately. I acknowledge that failure to notify RAIDS will result in the paper not being included in the proceedings.”

Plagiarism & Use of AI Systems

Papers containing text generated by large-scale language models (LLMs) such as ChatGPT are prohibited unless the generated text is explicitly part of the paper’s experimental analysis.

Authors may use AI tools for editing or polishing text they have written themselves.

AI Systems & Authorship

AI systems, including tools such as ChatGPT, Bard, or DALL-E, do not meet the criteria for authorship and may not be listed as authors or cited as sources in RAIDS publications.

Authors bear full responsibility for originality, accuracy, and plagiarism checks.

Handling Plagiarism Allegations

All allegations of plagiarism will be investigated thoroughly. Confirmed cases may result in:

  • Rejection or retraction of the work
  • Notification of authors’ institutions or employers
  • Denial of access to all RAIDS-sponsored meetings
